ITOA Monthly Meeting-March 12, 2008

 Present: Anne Morris, Bob Martin, Paul Culloton, Claudette Campbell, Chuck Homler, Bob Hollingworth, Vin White, K Clark, Dale Johnston, Leon Flint, Bob Keegan

 

  1. Minutes were approved from the Jan. and Feb. board meetings, Bob Martin motioned to approve both months. Reimbursements for video tapes bought by Chuck were also approved.
  2. Due to an opening on the board from a recent resignation (Alan St Pierre), Leon Flint was appointed to the board having received the next highest number of votes from the December annual meeting. Motion made by Chuck to elect Leon and was seconded by all.
  3. Motion was made by Chuck to increase the fines given out by $1.50 to cover our mailing costs, ($50 fine would be $51.50) after discussion, motion made to table this until next meeting.
  4. Time revision for when vehicles should be out of parking lot during snow removal, time will change to 9:00am. Motion made by Chuck and seconded by all that 10:00am is cutoff and anyone in parking lot after this time will be fined.
  5. Window bids-still waiting on bids, trying to beat $560/window. Motion made to obtain 3 more bids.
  6. Piggybacking in visitor parking-this is not allowed; you cannot switch cars from owners spot to visitor or vice-versa. Violators will be warned then fined.
  7. Tenant resource guide-copies given to all we will read and share comments at next meeting, discussion to include: trash removal, trash separation, new recyclable barrels.
  8. Discussion on going smoke-free, insurance will go down $1500/year, strong discussion both sides. We may possibly have a presentation on the benefits of going smoke-free. This will be revisited at next meeting.
  9. Review of financials-we are still behind in collecting condo fees and fines ($18,000), still on budget w/snow removal. New quote is $125/storm.Bids for repairs to flats and roof will only be honored until spring, after that we will have to obtain new bids. Some concern about broken washing machines, this has been addressed and machines will be repaired. Problems on 3rd floor with mice, R&E have been notified. Discussion about possibly having a “meet and greet” in spring with yard sale and maybe pot luck to get to know neighbors.
  10. Past due accounts-bob Martin made motion to have R&E sending out bills for condo fees and fines owed. Should we have everyone do automatic withdrawal for fees to R&E? What is the cost of monthly billing Regular mailing were suggested for alerting neighbors of new things happening on island.
